Room Rental

The University of Minnesota provides space at the Urban Research and Outreach-Engagement Center for community-university meetings as a courtesy to help develop community-university partnerships and to identify issues to address collaboratively.

Request Process

  • Complete form (PDF format) and submit to scheduler (see contacts on bottom of form). If you save your completed form and e-mail it to us, include "Room Request" and name of organization in the subject line. Please note that requests are reviewed to determine availability of room on desired date(s) and consistency of proposed use with the vision and mission of UROC.
  • If the requested room is available, UROC staff will complete a University of Minnesota Facility Use Agreement for signature by the University and the user of the space (Licensee). (This applies to non-University users.) The Facility Use Agreement includes specific information about insurance requirements users must meet.
  • Provide insurance documentation upon submission of signed Facility Use Agreement. This is required for all non-University users serving refreshments other than water, groups of 50 or more attendees, or groups meeting for 4 hours or more.
  • Provide name and address of caterer/vendor, if you intend to serve food and beverage. We encourage you to use area vendors near UROC.
  • Forms are processed on a weekly basis, and most confirmations are sent within a week of the initial form submission.
  • You will receive electronic confirmation within one week of submitting this form. Confirmation is required to host your event at UROC.
  • If payment is required, you will receive an invoice. See rental fees.

Use Guidelines

  • The use of meeting rooms is on a first-come, first-serve basis.
  • Meetings cannot be scheduled more than three months prior to meeting date. Please do not submit your request earlier.
  • The University of Minnesota Urban Research and Outreach-Engagement Center (UROC) is a weapon-free property; UROC bans guns on the premises.
  • UROC is a smoke-free property. No smoking is allowed in the building or outside the front doors. Smokers must move to the city sidewalk to smoke.
  • UROC is an alcohol-free property. No alcoholic beverages are permitted on the premises.
  • As a University of Minnesota building, UROC must abide by rules and regulations that govern non-profit organizations. Please visit http://www.501c3.org/ for more information.
  • The use of meeting rooms is subject to the Conditions of UROC Meeting Room Use at the end of the form, as well as applicable University policies, rules, and regulations, and federal, state and local laws, ordinances and regulations. Please read the policy on Using and Leasing University Real Estate.
  • We reserve the right to deny, cancel, or terminate any event that is inconsistent with the UROC mission and University of Minnesota policies, rules and regulations; or an event that violates any law, ordinance, or regulation.
  • In publicity materials and announcements, please refer to the facility by its full name: University of Minnesota Urban Research and Outreach-Engagement Center (UROC). We would be happy to provide an electronic wordmark/logo if you would find it useful.

from 8:30 a.m. to 5 p.m.
